We all know that internet fax is affordable, user-friendly and a quick way to send fax messages. Despite its ease and cost effectiveness, there are things you need to consider that will help you in choosing an online faxing service.

Below are six factors that you need to check with your provider before you sign up for their online faxing service:

  • No Additional Fees – There are a lot of online fax providers that can set up your service for free and there are companies that charge for it. Check the company of your choice whether or not they have a set-up fee. If they do, check how much the fees are. There are companies that charge a lump sum while others tend to spread their installation charges monthly. As long as the fee for it is minimal and justifiable, then it’s fine.
  • Storage/Memory CapacitySince an internet fax is stored online, specifically in a website or software given by the provider, there’s a limit on how many faxes or how much memory is available for a particular subscription. Companies also have a period of time when these files can be stored in an account’s cloud memory. This is therefore an important aspect that you need to take note of. In addition, some providers give big memory allotment, as well as a longer duration for storage. Make sure that you discuss this with your provider and the options available for your service.
  • No Hidden Charges – Hidden charges are not that common among online fax services; but it does happen to mobile and telephone companies. Thus, in order to be safe, check all the charges and fees on your bill. As a customer, it is your right to know what you are paying and where each and every single cent you pay for goes to. Don’t be afraid to ask questions especially if you are not sure what these charges are. As the saying goes, the customer is always right. If there is an additional charge or if you exceed the limit for your subscription, ask.
  • Expansion and Corporate Plans – Big and small businesses are using online faxing these days. A number of companies provide special plans or packages that are made for corporations or businesses of all markets and sizes. If you have a business, you can check out these plans to see which one offers you the best prices available.
  • Security Measures – An online fax obviously needs the use of the Internet for it to work. Everybody knows that the Internet is home to many hackers and they could compromise your online faxes as well. Check your provider if they have security measures as the encryption technology that can protect you and the online data you send and receive.
  • Add-ons and Features – Some companies include fun and useful features with the services since these attract clients by the dozen. Features such as email address and virtual presence numbers are some examples that you can use.

Before you go sign up for your online faxing services, make sure that you take all the factors mentioned above into consideration. These will help you choose and determine which online fax service and company you need to choose that will best fit your personal and corporate needs. Most provider packages, like RingCentral free fax service, are streamlined to fit a business’ size, budget and needs. This ensures that all resources are maximized without compromising performance.

I agree, it took me a few times before I found a decent company to work with. Another annoyance that I found was that my fax number was always busy, or only picked up 50% of the time.
