Your entire Outlook mailbox content including emails, calendar items, contacts, attachments, etc are stored in your Outlook data file that is Personal Storage Folder (.PST) file. With time the number of emails and other mailbox items increase and there comes a time when a particular Outlook folder like Calendar or Inbox gets engulfed with some unused stuff. To handle such situations, Outlook provides archive feature. With this feature you can purify usually used folders of your mailbox from old and unused items that you do not want to delete. You can use Outlook’s AutoArchive feature to perform this task automatically, or you can archive items manually as well.
You can extract and access archive items anytime despite the fact that they are unavailable in the folder that you usually use. Let us say you have archived Calendar items of your mailbox by using the Outlook AutoArchive feature. However, due to some reasons you want to restore all the items or an individual item of this archive Calendar item folder. The separate steps for both the aforementioned procedures are mentioned below:
Restore all items from archive calendar items:
Go to ‘File menu>>Import and Export’ and this will open Import and Export Wizard.
Click ‘Next’ after selecting ‘Import from another program or file’.
Select ‘Personal Folder File (.PST)’ and after that click ‘Next’.
Go to ‘File to Import’ box and change the name of the default name of the file from ‘backup.pst’ to the name of the PST file from which, you are going to import items. Or you can click ‘Browse’ to select the file from which, you want to import items.
Go to ‘Options’ and mention how you want Outlook to handle the duplicate items and then click ‘Next’.
Now click the folder from which, you want to import data and if this folder contains some subfolders, then check ‘Include subfolders’ checkbox also.
After that you have to select one of the below options to select the destination options:
Import items into the current folder: By selecting this option, your Outlook will import the data into the currently selected folder.
Import items into the same folder in: Outlook will import the data to the folder that has same name as of the source folder, such as Calendar to Calendar or Inbox to Inbox.
Restore individual calendar items from archive:
Follow below mentioned steps to select individual calendar items from its archive:
Go to ‘Go’ menu and then click ‘Folder List>>Archive Folders’. In place of Archive Folder there can be name of the archive folder.
Now select the folder containing the archive items that you want to move.
From this folder, select the items that you want to move and drag these items to the original folder where they were saved or to some other folder.
However, if the selected PST file is corrupt or has some size constraints, then you may get an error message like ‘the .PST is already in use’. To fix such issues and restore Calendar items from the archive folder, you can use Outlook’s Inbox Repair Tool, but if the corruption is severe, then this tool too fails.
